Sending material to FI – structure, file format and protection of information

Electronic communication

We request that documents are normally only sent to us electronically. If we do need paper copies, this will be stated on our website or in the applicable regulations.

Please send the documents to, and not directly to an employee. (This is particularly important during the summer months when many employees are on holiday.)

Only one copy of the documents is needed unless otherwise stated on our website or in the applicable regulations. A document that has been sent to us electronically, does not need to be sent again as a paper copy.

If you are sending documents regarding an ongoing case, please state the reference number in the subject line of the email. If you need to send attachments, we would be grateful if you avoid compressing text files or folders (e.g. zipping).

If files are sent to us on a USB stick or CD-ROM, we would prefer them to be saved in the most uncomplicated and flat structure possible. Please avoid tree structures.

If you need to send us an email with confidential content, we would prefer that you encrypt the email and attachments rather than sending a file that is password-protected. Encrypting the information is more secure.

We would prefer that you send electronic files to us in the following formats:

  • Text: Primarily pdf but also pdf/A, doc, docx, xls, xlsx, ppt or pptx
  • Image/video: gif, tiff, jpeg, jpg, bmp or mp4
  • Sound: mp3

Paper copies

In certain cases (for instance, if the document requires an original signature), it is not appropriate or possible to send the documents electronically. Normally, one copy is needed of documents sent as paper copies. Please supplement the submitted paper documents with a USB stick containing digital versions of the same information.

Exceptions from the above will be stated on our website or in the applicable regulations.

In cases where you must send us paper copies, we require that you:

  • Avoid plastic cases, paper clips, staples and post-it notes.
  • Preferably use paper registers rather than plastic ones.

How to send encrypted e-mails to FI

If you want to e-mail documents containing sensitive information, you can use PGP software in order to encrypt the information. Encrypt the entire e-mail, not just the attached files.

An e-mail encrypted using PGP cannot be read by anyone other than the recipient who has the private key that fits the public key that the e-mail has been encrypted with.

In order to use PGP, you need a PGP license and FI's public key (the key can be used by all programs supporting the open PGP standard).
